When you contact us, we collect the information you provide, such as your name, email address, project details and message.

For voucher claims, we also collect the voucher code, relevant award or project details and, where applicable, information about the original recipient and transfer. If you provide another person’s details, please let them know about this policy.

Our website providers may process technical information, including IP address, browser and device information, to deliver and protect the website and prevent spam. Please avoid sending sensitive personal information through our forms.

How we use your information

We use your information to respond to enquiries, discuss and prepare proposals, verify voucher claims and transfers, arrange consultations and provide our services.

Where processing is necessary to take steps at your request before entering a contract, or to fulfil a contract, we rely on Article 6(1)(b) GDPR. For general correspondence, voucher verification, fraud prevention and website security, we rely on our legitimate interests in managing enquiries, administering awards and protecting our business under Article 6(1)(f). Submitting an enquiry does not subscribe you to marketing emails. We do not sell personal data or make decisions producing legal or similarly significant effects through automated processing.

Who receives your information

Our website is hosted by Squarespace. Form submissions are processed through Squarespace and delivered to our Gmail inbox. Google reCAPTCHA is used for spam protection.

Information may also be shared, where necessary, with professional advisers or authorities to meet legal obligations or establish, exercise or defend legal claims.

These providers may process data outside the European Economic Area, including in the United States. Applicable transfer safeguards may include adequacy decisions, the EU–US Data Privacy Framework or Standard Contractual Clauses. You can request further information using the email address above.

Cookies

Squarespace’s non-essential cookies are restricted and its visitor Activity Log is disabled. Google Analytics and Meta Pixel are not configured through the website’s built-in integrations.

Essential cookies and similar technologies may still be used to operate and secure the website, including spam protection. You can also manage cookies through your browser settings.

How long we keep information

We retain enquiry information for as long as needed to handle the enquiry and any resulting discussions. Voucher information is retained as needed to verify eligibility, administer the award and resolve related questions.

Where an enquiry leads to a contract, relevant information becomes part of our client records. Retention is determined by the purpose of processing, applicable legal requirements and the need to establish, exercise or defend legal claims. Information is deleted or anonymised when it is no longer needed.

Your rights

Subject to the conditions of the GDPR, you may request access to, correction or deletion of your personal data, restriction of processing or data portability. You may also object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.
